DUTIES AND RESPONSIBILITIES:
Collect and manage incoming mail, including: sorting, scanning, and distributing, applying postage and delivering mail to post office as needed.
Address phone inquiries and effectively handle or redirect customer complaints to the appropriate departments.
Welcome and screen visitors, vendors, delivery personnel, and employees to maintain office security.
Assist in coordinating various events and printing tickets for external sales organizations.
Process shipping tickets and labels/packages using QuickBooks for Wisconsin Park and Rec program.
Create invoices for ticket sales in QuickBooks, including WI Parks & Rec, hotel ticket purchases, and other organizations.
Manage mailing and invoicing of wristbands or tickets to customer groups and external sales organizations.
Receive and manage Group Sales calls, bookings, and reservations using dedicated software.
Collaborate with concessions vendors to establish Group Food schedules.
Notify relevant personnel about incoming groups and coordinate their needs.
Handle outgoing mail, including applying postage and delivering to the post office.
Manage package shipping and tracking using various applications.
Assist with light accounting tasks, such as data entry and reconciliations.
Complete the Quarterly Employee Wage and Hour report for Work Opportunity credit.
Organize and file documents as needed, including paid bills and customer injury suits.
Provide support to other administrative team members when required.
Other duties as assigned.
Accounting Support:
Prepare Payroll punch reports and sort payroll checks for distribution.
Organize and compile receipts for accounting purposes.
Assist the Park accountant in reconciling bank receipts and accounting records.
Oversee money recycler operations, including counting money bags, preparing summaries, and deposits.
Customer Service:
Manage lost and found items, ensuring proper verification and shipping to customers.
Update lost and found information online.
General:
Assist in maintaining a clean office environment by ensuring garbage and recycling are properly managed, items are properly organized, floors are clean and surfaces are wiped down.
QUALIFICATIONS:
Trustworthy, reliable, and punctual with a strong work ethic.
Exceptional communication and interpersonal skills.
Proficient in using office software applications, including QuickBooks.
Strong organizational skills and attention to detail.
Ability to handle various tasks simultaneously and adapt to changing priorities.
Previous experience in a receptionist or accounting support role is preferred.
