Position Purpose:
To support the administrative staff in the day-to-day functions of the front office and Manufacturing areas for efficient and effective operations.
Office Manager Functions:
Manage the AP/AR Clerks and associated processes
Maintain office supply inventory
Maintenance/Repair of copier, fax, and company cell phones
Maintain the company phone list, Shareholder Information and Brokerage File
Track personnel travel
Perform accounting functions:
Print/issue checks per funds availability
Complete Credit applications
Contact past due accounts
Coordinate between direct reports and customer service regarding orders and data input
All functions with the 1099’s (collect data, federal id #, social security #, W-9 maintenance
Supervise the A/R monthly close out (credits and reports for BBC), cash in and set-up
Verify final Invoices for accuracy, details and pricing.
General Ledger
Payroll reconciliation
Other duties as assigned
Operations Administrative Functions:
Provide Administrative Support to the Bake/Oven department - procedures, records, forms and efficiencies
Provide administrative support to Operations documentation, reports, etc.
Conduct internal audits
Member of the Safety Steering Committee
Customer Service Functions:
Receive and enter customer orders
Report Order issues to Customer Service
Issue Reports on sales volume, orders, freight, payables and other requested information
Contact customers with reminders to order
Work with Customer Service Manager to determine pricing and ensure system is updated

Computer Office Suites, Accounting Software (GL, AP, AR), Quick Books Pro, Filemaker 5, LAN
Knowledge of AP/AR, General Ledger

Education and Experience:
Associate Degree Accounting
Accounting experience of 3-5 years
Extended training classes
