Position Purpose
Provide administrative and clerical support year-round for MSCR community programs and staff, primarily focused on 50+ fitness programs and pontoon boat programs.
Essential Functions, Duties, and Responsibilities
Develop a thorough understanding of MSCR programs (e.
g.
season calendars, facilities, fees, and registration procedures).
Serve as lead clerical support for Goodman-Rotary 50+ Fitness and Pontoon program.
Prepare, distribute, and track pre-employment paperwork and contract agreements for part-time and seasonal staff.
Process employee payroll and maintain and organize databases of seasonal employees.
Provide customer service, information, and assistance to the public.
Communicate with community members, staff, and supervisors via multiple communication methods (phone, email, website postings, mailings, walk-ins).
Process program registrations & confirmations using ActiveNet and Google documents.
Collect and deposit program fees and manage payments
Maintain accurate records and assist with data collection.
Prepare materials and information for MSCR program guide
Assist in securing and coordinating facility use reservations for the program area.
Regular communication with supervisor/staff in a timely manner.
Provide backup reception coverage, as scheduled.
Take meeting minutes at the advisory board meetings
Create brochures and program flyers
Provide backup support for other MSCR Program Assistants.
Provide clerical support as requested by MSCR Supervisor and Specialists.
Actively participate in team and department meetings and professional development.
Work as part of the Fitness and Arts Team and Outdoor Teams and assist with other duties as assigned in that department.

Minimum Qualifications
Three years of successful office experience or a combination of experience and formal training equivalent to three years.
Ability to proficiently use a PC, and software including Google Workspace, Microsoft Word, Excel, and Gmail calendars.
Excellent problem-solving ability.
Ability to communicate with a diverse clientele (particularly older adult participants) and staff courteously and professionally, both oral and written.
Experience working cross-culturally and/or commitment to work towards improving one’s own cultural competence, i.
e.
, valuing difference/diversity, recognizing personal limitations in one’s skills and expertise, and having the desire to learn in these areas.
Experience working with older adults (ages 50+)
Desired Qualifications
Knowledge of Munis, ACTIVE, Access, and Canva software.
Ability to work effectively and efficiently, balancing multiple tasks and programs and the work of several supervisors.
Ability to work with and adapt to multiple work styles.
CPR and First Aid required or provided within the first 90 days.
Skills, Knowledge, and Abilities
Ability to maintain accurate records.
Ability and comfort level with learning new technology/software and HR processes.
Organizational skills and the ability to prioritize multiple tasks, work under tight deadlines, use effective time management, and work with constant interruptions.
Knowledge of generally accepted record-keeping practices.
