This position is responsible for TOPS/TOPS+ program coordination and assisting in the development and delivery of comprehensive academic support services to increase the retention, transfer and graduation rates of eligible participants.
This position is responsible for providing TOPS/TOPS+ program coordinating duties with some academic, personal and career coaching services as well.
Additionally, this position supports success coaching referrals and academic alerts for the School of Engineering, Math and Science.
Our TOPS and TOPS+ programs are continuations of the AVID/TOPS programs at all four Madison Metropolitan School District (MMSD) High Schools.
AVID/TOPS supports students to develop the writing, inquiry, collaboration, organization and reading skills needed to be college and career ready.
The goal of the AVID/TOPS program is to close the achievement gap by ensuring that students, who are typically underrepresented on college cuses, graduate from high school with the skills and knowledge needed to be successful for college, career and community; the TOPS and TOPS+ programs then carry on this goal at the college level.
These programs are run in partnership with the Boys and Girls Club of Dane County.
This position is housed in the Retention Initiatives and Student Engagement (RISE) Office and works within the TOPS/TOPS+ program and collaborates with program advisors and the success coach, Enrollment Center staff, faculty, other student service offices, College administrators and our community partners to ensure the success of participants.
This position reports to Associate Manager TOPS+.

Responsibilities Include: Academic Coaching - Holistically coaches students about career options, admission requirements, programs of study, transfer opportunities, degree requirements and overall academic success; develops, leads or coordinates workshops, educational programs and engagement initiatives for their assigned program; utilizes developmental coaching techniques and success strategies to advocate for and support the individual needs of each student; resolves student questions or concerns regarding academic policy and procedures and refers to appropriate resources when necessary; researches, develops and collects online and printed resources related to academic success for reference in appointments and shares these resources with team members.
Coordination- Facilitates and oversees program's Intake Process and works with the TOPS/TOPS+ leadership on program recruitment, processing applications, contacting students and scheduling initial intake appointments (interviews, orientation with a coach and academic planning and Personal Education Planning with assigned advisor).
Triages progress report outreach for TOPS/TOPS+ students, takes TOPS/TOPS+ weekly meeting minutes and notes and uploads to TOPS/TOPS+ Teams.
Creates & edits process guides with TOPS/TOPS+ team as needed and ensures they are stored in SharePoint for team access.
Coordinates with RISE Team on any and all coaching related or joint coaching/ advising group student communications.
Maintains list of resources and updates and communicates relevant information to students.
Coordinates TOPS/TOPS+ social media.
Works with TOPS/TOPS+ Team to track cohorts and to maintain data.
Utilizes all specialized software and needed technology.
Student Retention/Case Management - Supports our diverse students in planning their educational experience including identifying academic support needs, time management and related strategies for success; monitors student progress and intervenes with students in academic jeopardy by helping them to make appropriate decisions and persist towards their goals as well as creating academic success plans; provides information and referrals for personal and academic support services including counseling, Veteran Resource Services, Disability Resource Services, mentoring, financial planning, employment support, first-generation services, conflict resolution, tutoring and supplemental instruction; assists in development and facilitation of innovative, proactive retention activities and programming for both at-risk and general population students; ensures programs developed stay on track, designs workshop series, invites participants.
MISC: Works collaboratively with other RISE programs, college faculty, advisors, financial aid office, career counseling, transfer center, and other departments to coordinate services to TOPS/TOPS+ students.
Participates and supports learner success strategies, programs, and courses advocating for the needs of students' cultural differences and uniqueness.
Assists in the development of marketing materials and promotional activities; assists in preparation and presents information related to coaching services and activities.
Record Keeping and Reporting; enters student contacts in EAB Navigate system(s) within 24 hours of contact; assists in preparation of reports, including monthly, quarterly, mid-year and end-or-year reports in a timely fashion.
Regularly utilizes computer applications and tools (Navigate, PeopleSoft, OnBase, Transfer Information System (TIS), Focus2, Blackboard, etc.
).

Minimum Qualifications: Associate's degree plus three years' relevant experience, or a Bachelor's degree and one year relevant experience.
