Job Summary: The University Of Wisconsin-Madison's College of Engineering (CoE) seeks a dynamic professional to join our undergraduate advising office and academic affairs team.

As a core member of the academic advising team, the Student Records and Curricular Specialist maintains a welcoming atmosphere while directing and handling inquiries of faculty, staff, students, and visitors to the engineering campus.
This position provides administrative support to assistant deans in the implementation and communication of academic services including policies, procedures, and maintenance of student records.
This role serves as one of the initial contacts for the undergraduate advising office and supports academic advising operations and programming, including coordinating schedules, managing room reservation requests, supervising student staff, and logistics for student events.
CoE is seeking a resourceful, detail-oriented, courteous, friendly, and compassionate professional to join our team.
Responsibilities: Collaborates with and supports students, faculty, and staff in the development, implementation, and maintenance of student records and curricular services.
15% Ensures correct and timely management of student records, course registration, and degree audits within the student information systems 30% Provides direction to students and staff on a variety of academic processes and policies including graduation requirements, academic standing, enrollment, and course change requests 20% Collaborates with students, academic deans, faculty, advisors, and staff to resolve curricular and student record issues 5% Audits and corrects data to ensure accuracy and completeness 10% Implements, interprets, and enforces instructional, professional, and legal standards and regulations related to student, curricular, and academic records 10% Serves as the first point of contact for individuals and groups, provides basic organizational information via phone, email, in person and through other communication mediums.
Supervises, trains, and monitors student employee workflow.
5% Supports academic space needs.
Schedules logistics and secures resources for meetings, conferences, travel and work unit operations.
5% Works to support inclusion, diversity, and equity in office practices and procedures; supports and enhances the climate for the students and colleagues.

Education: Preferred Bachelor's Degree Qualifications: Preferred: 1-2 years of administrative experience Ability to work independently, managing multiple projects despite interruptions, and adapting to ever-changing needs and priorities Experience serving as the initial point of contact for an office, including answering phones and greeting visitors Experience working in higher education administration Experience managing student records Excellent interpersonal and written communication skills Excellent organizational and management skills Experience with multiple virtual meeting tools Experience with calendar management and proficiency in coordinating calendars, schedules, and email accounts for others Exceptional attention to detail A demonstrated commitment to building an inclusive, welcoming environment.
A demonstrated ability to maintain discretion and professionally handle confidential information Software knowledge and expertise including Microsoft Office, Google Suite, and aptitude for learning new software Work Type: Full Time: 100% It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.
Appointment Type, Duration: Ongoing/Renewable Salary: Minimum $47,000 ANNUAL (12 months) Depending on Qualifications The employee in this position can expect to receive benefits such as generous vacation, holidays, and paid time off; competitive insurances and savings accounts; retirement benefits.
